🚀 We’re Hiring: Part-Time Commercial Operations Coordinator (Remote)

Bolt Navigation is seeking an experienced Commercial Operations Coordinator to support the fast-moving, multi-faceted demands of a growing medical device start-up.

This part-time, remote role is ideal for someone who thrives in an entrepreneurial environment and enjoys building structure, supporting sales operations, and keeping critical processes running smoothly.

You’ll work cross-functionally with sales, finance, and quality teams to support order processing, logistics coordination, reporting, and other key commercial functions that keep our business moving forward.

JOB DESCRIPTION*

Order Processing & Customer Support:

  • Process purchase orders, confirmations, changes and coordinate shipments with contract manufacturer.
  • Enter and maintain accurate customer records in QuickBooks, including onboarding new hospital/ASC accounts, verifying billing information, tax status, and payment terms.
  • Update quote and distributor trackers.
  • Generate invoices in QuickBooks and ensure accurate application of POs to Sales Orders.
  • On-board new sales team members, including system access, process orientation, and policy training.
  • Respond to customer and field inquiries and provide status updates and documentation.
  • Maintain data integrity, lot/unit tracking, and end‑of‑month close support

Inventory, Consignment & Case Support

  • Manage consignment replenishment, field transfers, returns, and reconciliation while maintaining accurate system records.
  • Coordinate time-sensitive case shipments to ensure on-time surgical readiness.
  • Maintain data integrity, lot and unit-level traceability, and regulatory documentation.
  • Handle RMAs, credits, and basic complaint intake per SOP, escalating to QA when required.

Trade Show & Event Coordination

  • Register and book company participation in industry trade shows and conferences.
  • Coordinate booth space selection and contract execution.
  • Manage shipment of trade show booths and marketing materials to and from event venues.
  • Coordinate with show organizers, freight carriers, and sales team to ensure timely booth setup.
  • Track event budgets, invoices, and payment deadlines; forward invoices to Accounting for payment processing.
  • Maintain inventory of booth materials and coordinate storage logistics between events.
  • Book surgeon travel including flights, hotels, ground transportation, and meeting logistics.
  • Ensure travel arrangements comply with company policies and AdvaMed guidelines.
  • Track and submit travel and consulting-related invoices and reimbursement documentation to Accounting.

Compliance & Operational Excellence

  • Operate in full compliance with company policies, FDA regulations, and AdvaMed standards.
  • Maintain confidentiality of customer and patient-related information.
  • Identify opportunities to improve workflow efficiency, documentation accuracy, and customer experience.
  • Support cross-functional communication between Sales, Operations, Accounting, Quality, and external partners

Education and Experience Requirements:

  • Associate’s required, Bachelor’s degree preferred.
  • 2-4+ years in medical device customer service/logisitics or similarly regulated industry.
  • Proficiency with ERP/CRM, Excel, and shipping platforms.
